Weekly Report: February 21-26

The Library was closed in observance of President’s Day on Monday and closed to the public due to inclement weather on Friday, with staff telecommuting and responding to patron requests remotely from 10am-4pm. It’s unclear at time of this writing if the lot will be plowed and walkways deiced for 10am opening on Saturday as scheduled. The Library’s website and social media is the best place to check for closing information.

We had 462 visitors on Tuesday and Wednesday, issued 28 new library cards, circulated 3,037 items, added 103 new items, placed 485 item requests, and sent
547 items in delivery and received 493 items this week to date.

Completion of the Construction Punch List continues. This week we took care of electrical work, carpeting and flooring issues. Beth approved design for a folding doors for the Maker Space and Presentation Space in the Community Room and received a draft patio layout from DRA. Our two OWL meeting devices arrived for remote and hybrid meetings – thanks to the Friends for funding! Beth scheduled panic button testing for next week.

Beth and other staff completed interviews for two of the three position vacancies and will be extending offers to candidates for the Reference and Teen Librarian positions. She attended a construction meeting and posted agendas for Board of Library Trustees and Library Planning and Building Committee for next week. Beth also chased down Conflict of Interest forms, and delegating to Sarah to turn them in to the Clerk – 100% completion, on time. Beth also worked on the Library newsletter, managing donations, website updates, and procurement, including a nonfiction book order.

The mask mandate has been dropped for all spaces except the Children’s Room – thank you for continuing to mask to protect our most vulnerable population.
With the unmasking, a food and drink issue has developed. We currently allow food and non-alcoholic beverages throughout the library with ONE exception the Children’s Room, due to the current mask requirement for that room. Staff do not want to be the “food police” confronting everyone with a cup of coffee or bag of Cheerios. We don’t want to deny hungry children their afterschool snack, or busy adults a meal. While we want to protect our new building and assets, we can replace a keyboard with a drink spilled in it, or a stained carpet tile easily. We know people, including staff! eat and drink around library materials at home (and at work) and items that get damaged are easily replaceable. If smell is an issue, we will have to ask patrons to eat outside and return when done, and we can empty stinky leftovers into the outside receptacle or dumpster. If cleanliness is an issue, we will offer wipes and ask people to clean up after themselves. We have trash and recycling bins and cleaning supplies throughout the building. If the smell and mess of food in the library continues to be an issue, it is a privilege we will have to limit to designated areas, such as the Friends Corner, or eliminate altogether, with the Board of Library Trustees revisiting the Code of Conduct.

Borrower Services reports Microsoft Office has been installed on the four public internet computers. Faxing remains unresolved, Xerox is working on it. The Lobby materials return has been disabled so we can keep the exterior one open 24/7 so we are now back to collecting returns in a bin and hand checking them in while we wait for a replacement computer to arrive. Our romance sticker project is finished, so fans of that genre can find romance novels at a glance as they browse for books.
We’ve started on a historical fiction stickering project next.

The Overdrive app has been officially decommissioned, so delete it from your device and download Libby instead for e-content! Updated brochures on accessing OverDrive content from your device will be available soon; you can always go to cwmars.overdrive.com to access and read on a computer.

Sandhya worked on museum passes and processed ILLs. Jane worked on identifying gaps in our collection from the New York Times best-seller lists, and researched databases we might want to offer. Ranjita worked on Library of Things and New York Times best sellers. Allie worked on the March newsletter, edited the A-C Historical Fiction list for sticker placement, and did some troubleshooting with Bibliotheca over books getting stuck on the belt. Susan placed orders for audiobooks and DVDs and Blu rays. She worked with Eileen to hand over the task of ordering supplies, and ran transit and missing lists.

Sarah met with Bev at Willard House and Clock Museum to discuss partnership opportunities, packed grab and go kits, assisted patrons in the children’s room during a busy school vacation week, created signage for mask requirements in the CR, communicated with staff, communicated with NGES parent volunteer regarding a 2nd grade field trip, and worked on collection development.

Library Service Update: Masks, Meeting Rooms, and Programs, Oh My!

Mask Mandate still in effect for Children’s Room

Masks are no longer required on municipal property per the Town Administrator; individual departments can require masking, and the Library will continue to require masks for anyone entering the Children’s Room to protect our most vulnerable population.  Thank you for your cooperation.

Please continue to follow CDC guidelines for masking, quarantining and isolating. We are happy to offer home delivery and no-contact curbside pickup upon request.

Meeting Room Use and In-Person Programming Resumes on Staggered Schedule 

After discussion with the Board of Library Trustees Chair, the Library will resume offering programs and meeting room use as follows. All dates are targets and dependent on diminishing COVID-19 case numbers in the Town of Grafton.

Monday February 14

  • Meeting room use for small group study, proctoring, tutoring of youth over age 5 (rooms 117, 124, 125, 202, 229) resumes

Monday February 28

  • In-person Library-sponsored programs for teens and adults resumes
  • Meeting rooms for public use for all ages, including booking 219 and the Community room for gatherings of 10+, resumes

Weekly Report: February 14-19, 2022

The Library had a delayed opening due to the unexpected snowfall over Sun/Mon. If Grafton Public Schools are delayed, the Library delays accordingly to give DPW time to clear our parking lot and Building Maintenance time to shovel or de-ice walkways. The Library’s website and social media is the best place to check for closing information.

The Library lot continues to be very icy due to short staffing at DPW. There is no one responsible for parking lot maintenance after 3pm. Thanks to Todd in the Building Department who came to de-ice!

Completion of the Construction Punch List continues. Beth approved design for a lighter gate for the bottom of the stairs and followed up on procurement requests from December, including gaming equipment, 3D printing equipment, art rail, blinds, shelving, and more. She oversaw DMH’s installation of additional electrical outlets and a new roman numeral clock for the Large Print and Main Reading Room, as well as lighting in the lobby for the Donor Wall. Sunshine Sign installed the Donor Wall Friday morning and it will be unveiled soon! Beth also followed up on additional signage requests.

CTA Construction Managers provided lunch for the staff on Valentine’s Day. Beth set up a Valentine station on Valentine’s Day; we are still conducting a Library Love program all month. Stop in the Friends Corner to complete a valentine (or take one and make it at home). Bring it back and we’ll give you a FREE Library magnet!
Beth and other staff continuing interviewing for three position vacancies and are checking references. She completed a Massachusetts Board of Library Commissioners/Perkins Access Library Survey, reviewed January minutes from the Board of Trustee meeting, posted the November & December minutes and drafted the February meeting agenda. She attended a construction meeting and an online seminar on Weeding Library Collections.

Beth also dealt with behavioral issues, including multiple reminders every day for patrons not masking. We remain under the municipal mandate of August 5, 2021, to mask in municipal buildings.

We began allowing meeting room use and scheduling programs for adults this week. Large group meetings and adult programming begins Monday February 28. Beth fielded meeting room requests and scheduled two Farmer’s Markets for March and April, and a discussion and film screening of Pakachoag: Where The River Bends for the Annual Meeting of the Blackstone River Watershed Association. She also worked with Apple Tree Arts to plan a 6-week Ukulele 101 class, which will begin March 2. Heidi supervised a patron using historical documents, participated in interviews, and facilitated three book discussion groups. In addition to the “Need a Laugh?” display that Kate curated early this month, she has been compiling a social services resource for staff and patrons, which covers Grafton/Worcester area.
Susan and her team worked on faxing and book return/check in issues. Borrower Services also worked on IT support tickets, managing IT issues sheet, Readers Advisory Database, Troublemaker Training webinar, running reports for patrons interested in newsletter, adding patrons’ emails to newsletter contact list, and approving a list of historical fiction books. Sandhya dealt with two patrons angry about having to wear a mask. She did her weekly update of Museum Pass procedures, and processed several CLIO loans.

Ranjita has taken on upkeep of the Library of Things organization. Sandhya is training her. She will maintain the binders, find pictures and create a page for new additions, and send an email to all staff showing each new item added to the collection. Jane was trained to run the “patrons with wrong library” report and will take over compiling that data beginning with March statistics. The Romance sticker project is finished, and we started on Historical Fiction stickers this week.

Susan ran a department meeting, created a template for book club titles, arranged tech help for the fax machine and worked with Bibliotheca to fix a problem with items stalling on the belt. She also arranged two training sessions with Bibliotheca to be held in March, ordered Overdrive content, submitted CORI requests for volunteers, and began organizing staff reviews.

Sarah ran a Children’s Room staff meeting and the weekly all library staff meeting, followed up with Beth and Cori about shelving in the CR, followed up with Beth about story walk stands, communicated with the Friends of the Library about the upcoming Egg Hunt, worked on collection development and material orders, spoke with a patron regarding donations for the library collection, reached out to Willard House to plan a time to meet and discuss partnership opportunities, gave a tour of the teen room, and met with Allison to brainstorm summer programming.

Jen brainstormed programming for Read Across America Day, worked on the library newsletter, updated EventKeeper, attended the weekly staff meeting, attended the CR staff meeting, and ran the Library’s Teddy Bear Sleepover program. Cyndi attended the weekly staff meeting, finished preparing the make and takes for the Feb 23rd yearn dog program, continued to find and wrap books for the Mystery Playdate with a Book display, and gave tours to interview candidates. Mare has been following up with volunteers, attended the CR staff meeting, and assisted patrons. Stacie worked on library displays, decorations, and passive programming. Kristin ran three sessions of Book Clubs, organized in the CR supply closet, and collaborated with local schools.

Allison worked on magnet labels for the media collection to make it easier for patrons to find specific titles and easier for volunteers to shelf. Erin made origami hearts. Cyndi practiced dance moves with teen patrons. Additionally Sarah and Allison met to work more on summer reading and are putting together our notes and we will share with Heidi. Beth has instructed summer reading will have online tracking again, and to pare down the program due to staffing and budgetary limitations.

CW MARS, our library network, will be doing regular maintenance and reorganizing some hardware at our co-location facility that will cause brief periods of down time between 8am-11am on the morning of Monday, February 21, 2022 – the Presidents’ Day Holiday. A reminder: the Library will be closed in observance of Presidents Day on Monday February 21, 2022 – please check out our online databases, available 24/7 at www.graftonlibrary.org/digital.

Ukulele 101 Begins March 2!

Grafton Ukulele Musicians logoUPDATE: This session is full and will be offered again!

This 6-week class for ages 13 & up covers the basics of how to tune and play a soprano ukulele: basic chords, simple songs to start out with, and singing and strumming.

Masks are required for this sing & strum program.

Led by Eric Guerin, the program is presented in partnership with Apple Tree Arts.

Space is limited. Registration is required and opens Wednesday February 16. Please note if you will bring a ukulele or need the Library to provide one. Classes run 6:30-8pm on Wednesday 3/2, 3/9, 3/16, 3/23, 3/30 and 4/6, with a make up class in case of inclement weather scheduled for 4/13.

The Library had 1,386 visitors, issued 26 new library cards, circulated 2,914 items, added 305 new books, placed 443 hold requests and fulfilled 307 holds – the most requested item was Apples Never Fall by Liane Moriarty.

After discussion with the Board of Library Trustee Chair, the Library will resume offering programs and meeting room use as follows. All dates are targets and dependent on diminishing COVID-19 case numbers in the Town of Grafton.

Please note the Library and all municipal buildings are still under a mask mandate as directed August 6, 2021 by Evan Brassard, Town Administrator, until further notice, including meeting rooms and programs, to be assessed by TA at the end of February.

We have opened the Book Drop for Friends Donations only! Library materials must be returned in the automated materials handler, which has an exterior intake and one inside the library. Please comply with posted signage. Library items returned to the bin may not be recognized by volunteers, and could make it into the book sale. Fines or fees may accrue for items not returned to the proper location.

The Friends take donations of most books and media in saleable condition: materials that are yellowed or aged, brittle, damaged, written in, moldy, wet, or smelly cannot be accepted. Textbooks, magazines, toys, games, puzzles, clothing, records, or VHS or cassette tape are not accepted.

The Library staff offer their condolences to the family of Tom Mara, beloved husband of former library trustee Bev Mara. The family has requested memorial donations in lieu of flowers to be directed to the Senior Center and Library.

CTA had a construction specialist on site to address bubbling paint in the Historic Reading Room. DMH Electrical was on site to install additional electrical outlets and a clock in the New Book/Large Print room. Bibliotheca had a technician on site to address gate issues and install additional 2D barcode scanners on the AMH intakes. Study room doors are shipping at the end of February. Donor wall and plaques are in process and may be completed by the end of the month.

We began interviewing for library vacancies this week. Beth attended a construction meeting and the Friends meeting, and a webinar on grassroots activism titled: Troublemaker Training: Banned Books edition. She also attended A Conversation with Art Spiegelman, Author of Maus, hosted by the Jewish Federation of Greater Chattanooga. The recording is available online.

Beth updated the Town’s grant list with Library grants, and signed a quote to order ADA hardware. We will be receiving a variety of magnifiers for people with low vision. Beth also worked on press releases, website updates, security camera and door lock instructions, and annual report financials for the Library Planning and Building Committee and Board of Library Trustees.

Sarah brainstormed upcoming programming, contacted Mr. Kim and Apple Tree Arts, attended the MASSYAC Youth Services Community Chat, worked on collection development, planned and implemented a virtual school visit for SGES preschool classes, communicated with NSES about an upcoming spring tour, and discussed programming and masking guidelines with Beth.

Sarah prepped the “And Then…” collaborative book collection, wrote a summary of Feb programs for staff, updated EventKeeper, scheduled social media posts for February, and updated the website.

Cyndi worked on the CR library of things, gave tours to prospective Reference candidates, coordinated with volunteers, and assisted patrons. She also attended a webinar on Copyright for Librarians: What you need to Know by NICHE Academy Sara R. Benson, presenter. Mare coordinated with volunteers and assisted patrons, and met with Beth to review her Paralibrarian III application.

Pajama Drive Continues Through March 31

Our collective goal is to collect 5,000 pairs for drop off in Newton MA by the end of March. Staff will be in pajamas on Fridays and Saturdays to promote the program, and have planned several special events including a stuffed animal sleepover. Want to help? Donate a NEW pair of pajamas for children and teens through March 31, 2022 at the Grafton Public Library, 35 Grafton Common, Grafton MA. The donations are accepted in the Lobby.

We are looking for brand new pajamas, appropriate for all seasons, from sizes 2T through adult medium. Please do not give pajamas that include any family or holiday references, and defer to Cradles to Crayons Quality = Dignity guidelines, and purchasing only items that all children would be both excited and proud to wear and use.

Our most needed sizes are:

  • Girls: 5/6 (child S), 7/8 (child M), 14/16 (child XL/adult S), 18/20 (child XXL/adult M)
  • Boys: 7/8 (child M), 14/16 (child XL/adult S), 18/20 (child XXL/adult M)

Monetary donations are also accepted online.

Weekly Report Jan 31-Feb 5

The Library had 543 visitors, issued 12 new library cards, circulated 2,217 items, added 41 new books and other items, sent 486 items in delivery and received 445 items, placed 408 hold requests and fulfilled 248 holds – the most requested item was Apples Never Fall by Liane Moriarty. We closed due to inclement weather all day Friday and due to icy and hazardous conditions on and around the Library property on Saturday.

We began collecting pajamas for the Boston Bruins Cradles to Crayons Pajama Drive, and launched our #LibraryLove campaign and Blind Date/Mystery Playdate with a Book program.

Beth revised the FY23 budget request of $1,123,725 at the direction of the Town Administrator’s, who requested a Library budget not to exceed more than $100,000 over last year’s request. The revised request of $983,735 eliminates the program budget (we will fund through the UniBank grant and other revenue sources), does not restore last year’s cuts to Dues & Memberships, Conference & Seminars, Mileage, Marketing, or Professional and Technical lines, and cuts requests for additional staff to cover all service desks and paging (shelvers) for youth services. We will draw on State Aid, gift account, grants and trusts to make up the balance. The reduction leaves a service gap of around 100 hours a week, plus 1,800+ hours of leave time for benefit staff, which means managers will be covering service desks and not getting to programs, outreach and off-desk work, or departments will work short or close if we cannot meet the minimum staffing policy. We are now locking the Teen Room door when there is not a staff member to cover that desk.

Beth corresponded with CTA about the staff door, which is heavy to open and does not swing shut; about the HVAC system, which has at least 3 access doors with either panels too small for filters to move through for cleaning and replacement, or access panels too far from the filter to access the filter; and regarding bubbling paint in the Historical Reading Room. She was unable to attend this week’s construction meeting.

Beth scheduled interviews for the reference and teen vacancies, completed and sent the February Newsletter, ordered graphic novels and nonfiction, tested ukulele tuners and ordered replacements, ordered an RCA to HDMI converter for our WiiU after a patron complained it was not compatible with their flatscreen television, met with the Town Accountant to review the Library’s chart of accounts, MPLCP final financial report, State Aid, and grants and trusts. She reviewed the Materials Selection Policy with staff, and took a webinar on Troublemaker Training: Book Ban Edition.
Borrower Services staff managed all the usual circulation functions. Allie made graphics for our displays, and created a social media video for Sandhya’s “Red” Any Good Books Lately? display. Sandhya also created a Black History Month display, revised the system for museum pass renewals and processed ILLs. Jane assembled a batch of books on backyard birding for her monthly display, and also worked on transit lists, and edited the list of romance audio books. Ranjita put together a beautiful Blind Date with a Book display, and worked on NYT Best Seller lists. Susan organized the Home Delivery patron’s material request lists and delivered eight items to four patrons. She prepared the monthly Crescent Manor BookWagon, compiled monthly statistics, and worked on getting support from Bibliotheca for some long-standing issues, and with MarketSpark to fix our fax again. Bibliotheca sent a technician to work on gates and install the barcode scanners for the automated intake – this will show patrons on the display that materials from non-RFID libraries are off their accounts and returned, and save staff from having to check in non-RFID items a second time by hand. Susan also updated the list of holds not able to be filled and oversaw a volunteer’s romance sticker project.

Heidi hosted the “Reads Well with Others” Book Group Monday evening. They discussed The Ten Thousand Doors of January by Alix E. Harrow. She also answered reference questions, created library cards for people, worked on statistics, and set up the tax forms display, with printed copies of the forms. (We are still waiting on the DOR and IRS to send the pre-printed forms!) As in previous years, we will offer one complimentary copy of tax forms – additional copies and instructions cost $.20 for black & white, $.50 for color.

Kate put together a new display called “Need a Laugh?” It includes a mix of non-fiction, fiction, and biographies, and is located by the historical materials room and Administrative Office on the upper level. She also developed a video tutorial for how to book a meeting room (debuting soon!).

Allison worked with Sarah to brainstorm and plan the summer program, and scheduled the Animal Adventures program for July 2022. This program is supported in part by a grant from the Grafton Cultural Council, a local agency which is supported by the Mass Cultural Council, a state agency.

Allison added some new book displays in the teen room: Blind Date with a Book, books with hearts on the cover, Black History Month, and Black authors. She also received the displays to use for passive reader’s advisory in the manga collection and is working on putting a collection of graphics together so that they can be used and updated regularly.

Library To Remain CLOSED Due to Unsafe Conditions

The Library will remain closed to the public all day today Saturday February 5 due to hazardous icy conditions outside of our control. Staff are working remotely through 4pm to respond to phone messages at 508-839-4649 and email and Facebook messages. The Automated Materials Handler (Book Drop!) is also CLOSED; please keep library materials at home and stay safe! We apologize for any inconvenience and thank you for your patience and understanding.

To celebrate the 15th Annual Bruins PJ Drive, we’re hosting another Stuffed Animal Sleepover!

Leave your stuffed friend at the Library for a special sleepover. Hijinks will ensue!

Drop off your friend on Saturday, February 12th thru Wednesday, February 16th. Friends need to be picked up before Friday, February 25th.

Join STEM Beginnings for a 6-week virtual series for children, ages 3-6. Children will learn STEM (Science, Technology, Engineering and Math) concepts through hands-on activities, story time and simple experiments.

This is an interactive class and parents/caregivers are encouraged to help their child.

Registration will begin two weeks prior to each event. By registering for this event, you are registering for this one event, not the entire six-week program. If the event is full, you may still submit this form to be placed on the waiting list. Attendees on the waiting list will be added to our next session. A minimum of eight families are required in order for the class to be held. If we do not receive the minimum number of registrants, this event may be canceled. A valid email address is required to register for all Grafton Public Library programs. If you are unable to attend, please call the Grafton Public Library at 508-839-4649.

FEBRUARY VACATION WEEK PROGRAMS

Pick-up a special activity kit for kids 6-12. Kits are on a first-come, first served basis and will be available at 10am on Tuesday, February 25-Friday, February 28.

Kits may contain small parts and are intended for school-age students.

Kids, tweens, and teens in grades K-12 are invited to create their own Frankentoy. Inspired by Sid from Toy Story – participants will be able to create something new from old and broken toys.

Kits will be available on Friday the 18th at 3pm. If you’d like to be entered in the contest, take a photo of your Frankentoy creation and upload it using this form.

This free program is for kids, tweens, and teens in grades K-12. All supplies will be provided, but if you want to bring some of your own toy pieces you are welcome to.

Kids, tweens, and teens in grades K-12 are invited to participate in our first art show! Pick up your canvas anytime from Friday, February 18th to Saturday, February 26th.

Create with your canvas any way you wish-paint, collage, mixed media, even crayons!

Canvases must be returned to the library, with the artist’s name and contact info, by Saturday, March 5th. Canvases will be on display in the Children’s Room for the entire month of March.

Canvas must be picked up before Saturday April 9th.
